Making a Room Reservation at CDU

CDU now uses Astra scheduler for all room bookings (classes and events). All CDU faculty and staff can log into Astra using the SSO (same as your CDU email or Blackboard). In Astra, you can see the events calendar, and make room and space requests. You can also see what is available when you are making a request. At the time you make the request, you can indicate specific rooms (if you want to), and which services you may need (e.g. A/V support, custodial, campus safety etc.)- those groups will be notified of the request.

All room requests run through an approval process, but placing the request in Astra puts a hold on the room, so double booking will not occur. No reservation is final until you receive a confirmation!

How to Make a Reservation

Astra allows you to request space for an “Event”, and an Event can have multiple meetings (e.g. a specific room at a specific time and date). So, if you are requesting multiple rooms for an event (e.g. a conference with breakout sessions), you create 1 event, and attach multiple meetings to it (one for each room you will be using). You can also set up recurring events (e.g. monthly lecture series).

  • Click the "Make a Reservation" button
  • Fill in the Campus Space/Facilities Reservation Request form 
    • Required information includes your name, email address, event title, event type (e.g. Meeting; Lecture etc.), and # of attendees. Other questions are optional but help us make sure you get the space and services you need
  • If you want to select rooms and services, click the "Add meeting" button

The “Create Meeting(s)” window pops up. You can select single, multiple, or recurring meetings, establish the times and dates, and give each meeting a separate name if you like (e.g. Breakout group 1, Breakout group 2 etc.). Select a meeting type and maximum attendance. Generally you want “Requires room” to be checked to reserve space. Enter the necessary information and click “Add Meeting”.

  • To select a room for your Event, click "Assign Rooms" 
    • The “Assign Room” window pops up, giving you tools to search available rooms for your requested meeting times/dates (you can search by building, name, type of room etc.). Available rooms are listed as “Available”, and unavailable rooms say “Unavailable” and are bright red. Click the room(s) you want (they turn green and say “Selected” and then OK

  • If you need services for your event, click the "Assign Resources" button
  • For each meeting (e.g. room/time combination), select the resources and quantity needed

  • Finally, hit the "Submit" button at the bottom of the page

  • You’ll receive a confirmation that you request was received, along with a summary of the request. You will also receive a separate confirmation when the request is approved and the room(s) booked
